Unlock the Power of the Table Host
Are you and your Table Hosts using the Guest List Manager in Attendance to its fullest potential?
This feature empowers your Table Hosts to manage their own guest lists online, equipping them with useful tools to update their own lists without calling or emailing you every time there’s a change.
The Guest List Manager is included with Attendance and, when used effectively, will save you hours (if not days) of time!
With the Guest List Manager, Hosts can:
Send email invitations
View their current guest list
Add guests
Cancel guests
Edit guests' information
Send email follow-ups
These features sync automatically with your event in real-time so you will always be up-to-date with where your Table Hosts are in their inviting and registering process.
If there are important deadlines and/or key information you would like to share with your Table Hosts, you can edit the Guest List Manager page template to reflect these details.
Communicating With Your Hosts
As the Event Coordinator, you have the ability to email all your Table Hosts within Attendance as often as you would like. This provides a great opportunity to check-in, encourage and offer tips. We suggest emailing Table Hosts weekly to keep them engaged.
When communicating with your hosts:
Share exciting updates from your nonprofit to keep them encouraged as they invite their friends to the event
Share statistics to give them a window into the impact they have as a partner
Remind them of expectations and deadlines - time flies way too quickly! Busy hosts may have committed to hosting with the best intentions, but often need encouragement and reminders along the way.
Don’t Forget This!
Be sure that every time you email your hosts you drop a "Manage My Guest List" button into the email.
When your table hosts are using the Guest List Manager feature to its fullest potential, you will have more time to nurture the relationship you have with your Table Host without the need to chase down details.
Here's how to include the button in your emails:
Log in to your FundEasy account, and choose your Attendance Event from the upcoming events list
In the "Send Email" tool, click “Compose” to write a new email
Choose “Group Hosts” as your recipients to email all Group Hosts (or “Specific Guests” to just email select hosts)
Write your message inside the body
Click on the % button in the toolbar, scroll down the list, and choose the variable %HostManagerAccessButton% to include the button in your email
This button will direct each and every Table Host to his/her personal Management Page
