The Hope Clinic has been harnessing the capabilities of FundEasy's Attendance software since 2018 to oversee their two annual fundraising banquets. Previously, they relied on a labor-intensive paper check-in system and various spreadsheets for event registration management. However, as their events expanded in scope and complexity, they encountered challenges in accommodating last-minute changes.

The Story of Becky and The Hope Clinic
The Hope Clinic embarked on its journey on January 17, 1992, with a humble beginning in a donated space within a doctor's office in Berne, initially operating under the name of The Hope Center. In their inaugural year, they provided essential services to 40 women. A decade later, the realization dawned upon them that growth was not just desirable but necessary. With unwavering support from the community, they undertook a remarkable transformation. They renovated their facility, acquired their very first ultrasound machine, welcomed their first Nurse Manager, and embarked on their mission to deliver life-affirming, limited medical care.
In a significant stride forward, they later merged with Decatur Life Choice Pregnancy Center and inaugurated a new location in Decatur. In that same year, they further expanded their capabilities with the purchase of another ultrasound machine for their Decatur facility. The year 2016 marked a pivotal moment as they introduced STI/STD testing to their comprehensive list of medical services, broadening their commitment to serving all facets of their community.
With unwavering faith and dedication, they officially joined the Abortion Pill Reversal Network, offering a protocol that has demonstrated success in reversing chemical abortions if administered promptly after the first abortion pill is taken.
Throughout their journey, they have remained resolute in their faith, embracing the mission entrusted to them by the Lord: "to be the first choice for anyone facing an unplanned pregnancy." Their vision is clear: to render abortion an unthinkable choice for all who seek their assistance.
As their clientele steadily grew to an average of 500 clients annually, spanning two locations, their commitment to expand life-affirming services, all offered free of charge, has remained steadfast. To achieve this noble objective, The Hope Clinic relies on the support of generous donors. While they receive regular contributions from their local community, their annual fundraising banquets have played a pivotal role in sustaining their vital work.
Having managed their event attendance, registration, and check-in processes for 26 years using a manual pen-and-paper method, The Hope Clinic recognized the need for a modern upgrade.
They understood the immeasurable value of their time and the limitations of the traditional method, with duplicate entries and missed registrations. It was clear that a change was overdue, and this is where FundEasy stepped in to provide a solution worthy of their mission and commitment to those they serve.

Managing Banquets Before FundEasy
During her initial meeting with FundEasy's team, Becky candidly expressed the challenges faced by The Hope Clinic in efficiently managing attendance records. Their reliance on paper lists had led to delays, complications with last-minute seating adjustments and walk-in placements, and the creation of inaccurate paper seating charts. This method also resulted in an incomplete and unreliable count of event attendees, among various other issues.
The breaking point for them was the persistent difficulty in accurately recording attendance and effectively following up with donors. The clinic was keen on identifying who attended their events, who contributed, and who did not, with the intention of promptly sending out thank-you cards as well as follow-up requests to those who may not have been able to donate at the time.
Overall, the fundraising process had become a source of significant stress for both event organizers and attendees. Recognizing the need for a more efficient and effective approach, Becky was determined to find a solution as soon as possible.
Why They Chose Attendance
During her initial meeting with our team member, Crystal, Becky outlined The Hope Clinic's specific needs for a more efficient event management solution. She expressed their desire to replace the repetitive task of typing and re-typing guest lists and table seating arrangements on the day of their events. The clinic aimed to eliminate the long, slow check-in lines that had become a challenge at their banquets and prevent individuals from bypassing the check-in process to be seated without verification. Furthermore, they sought the ability to generate comprehensive post-event reports, encompassing not only attendance records but also an overview of table hosts and their table fill rates. This data would help them evaluate and select potential future table hosts more effectively.
Following Crystal's demonstration of FundEasy's Attendance software, Becky was convinced that it was the ideal solution for their organization.

“All of the FundEasy staff have been very helpful. Crystal walked us through the demo initially before we signed up and the many FundEasy webinars that have been offered have been so informative. I appreciate that these are also made available after the fact, as sometimes it is too busy at our clinic to get to watch the webinars live. All of the staff who answer chats or support emails have been very quick and gracious in assisting me, whether with event set up or post-event questions or referring me to the Knowledge base.”

Becky had this to say after using it for their yearly banquets,
“In addition to making check-in go so smoothly, I found that the online setup for the events made our events look so much more professional. All of the templates consistently promoted our theme from the time of event detail entry, through the event, and even afterward with follow-up emails. It helped us to stay digitally current by using email more (both for registration and communication), and by providing multiple means of registering (by email, on our website, and through our QR code).”
